1. General Policy
Due to the nature of digital services, which involve significant upfront work, creative effort, and resource allocation, most of our services are generally non-refundable once work has commenced or deliverables have been provided. However, we understand that situations can change, and we strive to be fair and transparent.
2. Refund Eligibility & Conditions
Refunds, if applicable, are issued solely at the discretion of VVS Digital Solution and are subject to the following conditions:
Before Work Commences:
If a project is cancelled by the client before any substantial work or resource allocation has begun (e.g., initial consultations only, no design mock-ups, content creation, or development work started), a full refund of any initial deposit or payment may be considered, less a non-refundable administrative fee of [Specify amount/percentage, e.g., RM 100 or 10% of deposit].
This excludes any non-refundable third-party costs incurred by VVS Digital Solution on the client's behalf (see point 3).
After Work Commences (Partial Refunds):
If work on a project has commenced and is partially completed at the time of client cancellation, any refund will be pro-rated based on the amount of work completed, hours spent, and resources utilized up to the point of cancellation. The client will be invoiced for work completed, and any remaining balance from payments made may be refunded.
Completed phases or milestones are considered delivered and non-refundable.
Completed Projects/Services:
Once a project is completed, delivered, and approved by the client (e.g., website launched, SEO setup finished, social media profiles live), it is considered non-refundable.
Recurring Services (e.g., Hosting, Maintenance):
For recurring services paid in advance (e.g., annual hosting or maintenance), a refund for the unused portion of the service may be considered upon cancellation. This is subject to a pro-rated calculation based on the remaining period, less any setup fees or non-refundable third-party costs.
VVS Digital Solution Initiated Cancellation:
In the unlikely event that VVS Digital Solution initiates the cancellation of a project (other than due to client breach of contract), a full or pro-rated refund will be issued for any services not yet rendered, within a reasonable timeframe.
3. Non-Refundable Items
The following items are generally non-refundable:
Domain Registration Fees: Once a domain name is registered, it cannot be refunded as it's a third-party charge.
Third-Party Software/Licenses: Any software licenses, themes, plugins, stock images, or other third-party services purchased specifically for the client's project are non-refundable.
Initial Consultation Fees: If a specific fee was charged for initial consultations, it is non-refundable.
Services Already Rendered: Work, time, and resources already expended on a project.
4. Refund Processing
Upon receipt of a refund request, VVS Digital Solution will review it within [e.g., 5-7 business days]. If a refund is approved, it will be processed within [e.g., 14-30 business days] and credited back to the original method of payment, where applicable. Clients will be notified of the decision and the amount of any approved refund.
5. Changes to this Policy
VVS Digital Solution reserves the right to modify this Refund Policy at any time. Any changes will be posted on this page.
